Refund and cancellation policy
This policy applies to reporting engagements commissioned from Toolkit Sycamore Core Ltd, including account usage reports, quarterly reviews, assessments, and briefing packs.
Eligibility
Fees relate to professional reporting services, not physical goods. Refunds depend on how far an engagement has progressed and whether a deposit or milestone invoice has been paid.
Deposits
Most engagements require a deposit of 30% to reserve a start date and open data hand-off. Deposits are credited against the final invoice.
Cancellation by you
- More than 10 working days before the agreed start date: deposit refunded minus a £150 administration fee
- Within 10 working days of the start date, before analysis begins: deposit retained; remaining fees not charged
- After analysis or drafting has started: fees for completed stages remain payable; unused later stages may be cancelled without charge
Full or partial refunds
A full refund of amounts paid applies if we cancel an engagement for reasons within our control and cannot offer a suitable alternative date. Partial refunds apply when only some milestones were delivered, calculated against the statement of work.
Non-refundable items
Completed report cycles, delivered briefing packs, and time already spent cleaning agreed extracts are non-refundable. Retainer quarters that have already produced a pack are non-refundable for that quarter.
Rescheduling
You may reschedule a kick-off once without charge if you give at least five working days’ notice and supply data within the new window. Later or repeated reschedules may incur a £120 rearrangement fee.
No-shows and delayed data
If a scheduled briefing is missed without 24 hours’ notice, a replacement slot may be charged at £180. If exports arrive more than 15 working days late without agreement, we may close the engagement and invoice for work completed.
Work already started
Once reconciliation or drafting has begun, those stages are payable even if you later decide not to take a final briefing.
Refund process and timing
Email contact@toolkitsycamorecore.click with your engagement reference and reason. Approved refunds are processed within 14 working days to the original payment method.
Quarterly retainers
Retainers may be ended after the minimum commitment stated in the agreement, with notice before the next quarter’s data window. Unused future quarters are not charged; past quarters are not refunded.
